Gerber of the Emyth said, "If you can not leave your business
for a month and have it run effectively without you, you don’t have
a business, you have a job!"
What
he means is if you don’t have procedure manuals for every part of
your business, so your employees can do everything necessary, you
are really just another employee.
Systems
are key to any successful company. Doing every part of your business
and handling customers the same way each time is key. Could you
imagine asking Federal Express to delivery your specific package
by 9 am the next day instead of 10:30 am? They are not going to
have jets leave early just for one package and risk being late for
all there other clients. They have a system. Unfortunately, many
small businesses do this all the time. They over promise to get
a sale, they have employees that handle accounts differently. You
will hear a customer say, "When Barb handled my account she
didn’t do it that way!" This is a fast road to disaster.
There
is a reason franchises work so well in this country. They have a
templated approach for producing a consistent product or service!
This is the key.
Using
a data base program like Act or Goldmine is key to your success.
Each and every lead and customer must be entered into a computer
system. If you have your leads and clients on scraps of paper, you
are probably doomed for failure. If you are not failing with this
approach you are losing a tremendous amount of profits by being
less organized.
If
you don’t know how to be organized, go talk to someone that is and
ask them how they do it. Find out their beliefs about being organized.
If you are not, your beliefs will be different then theirs.
The
key is to take time to work on the busines, not always in the business.
This means spend time organizing your business by creating step-by-step
processes. You may be tempted to call that next lead to bring in
more money, or say, I will organize next month, I am too busy now.
You need to fight this pattern that may destroy your business.
